Getting Started

This FAQ list provides information for Douglas College employees.

Bank Machines

At New Westminster, a bank machine is located on the second floor, main concourse, across from the Security Kiosk.

At David Lam, a bank machine is located on the first floor, main atrium, beside the Security Kiosk.

Computer Accounts

Generally, the hiring department will initiate an Account Request form on your behalf to arrange for your computer accounts. If you are a new auxiliary, Human Resources submit the initial Account request form. The hiring department as required arranges access to specific department directories and printing. Please see CEIT Employee Services for more information.

Employee Discounts,  Free Entertainment and Programs

Employee Self-Service (access your pay advice, T4 and benefit statement)

Employees can access their Pay Advice and tax receipts (T4) and view their deductions, earnings and benefit information through the secure myDouglas Employee Self-Service. Click here for instructions to log into Employee Self Service or contact Human Resources for assistance. 

Where are the employee lounges/lunchrooms located?

At New Westminster, the employee lounges are located on the 4th floor of the south building (beside the Boardroom) and the 3rd floor of the north building (this lounge requires a passcode, please see your Departmental Assistant). In addition, the Douglas Room on level 1 of the north building is available for employees

Enjoy your lunch in one of the outdoor eco-gardens, located in the 3600 Humanities area or 3900 Science and Technology area.

At David Lam, the employee lounge is located on the 3rd floor in room B3131. The new Health Sciences building in room D3037.

Food Services

All of the cafeterias feature daily soups, sandwiches, entrees, and combo features. Note: cash only, no debit.

The New Westminster campus cafeteria is located on the second floor off the main concourse. The campus deli is located on the first floor by the 8th Street entrance. Vending machines are located around the campus and there are a variety of restaurants within walking distance of the campus.

The David Lam campus cafeteria and a Tim Horton's (open September to June) are located by the first floor atrium. A new coffee kiosk will be opening soon in the Health Sciences building C.

Parking Pass

Parking at Douglas College is available for employees. Hourly parking is available at both campuses. Note: Valid ID must be presented on exit for discount.

Faculty and Administrators may acquire a parking pass from Human Resources at the New Westminster Campus, Room 4011 for new parking passes. Renewal of Faculty parking passes will be handled automatically by Human Resources.

Regular BCGEU employees receive a Go Green allowance at the start of each semester. Full details on how to apply for an employee parking pass as well as hourly parking rates can be obtained from the Facilities site.

How do I obtain a replacement for a lost or stolen parking pass?

Refer to the Employee Parking Information Brochure for instructions for obtaining a replacement card.

Get Your Photo ID

Your identification card is used to identify you to security personnel when required, for example, after hours or for weekend access. It is also required to access and sign out resources from Learning Resources.

New employees must bring a piece of valid government-issued photo ID and will have their photo ID taken at the time of scheduled sign-up.

Existing employees may have a replacement photo ID taken in the Human Resources Department, Room 4011, New Westminster Campus during regular office hours. Existing employees should bring their old ID card or another form of identification.

Employees located at the David Lam Campus may contact Wendy Davies or Tania Dong at local 6325 (604-777-6325) to arrange an appointment.

Returning non-regular employees may acquire a semester validation sticker at Human Resources or Learning Resources.

How do I change my address?

Employees are able to update their address and emergency contact information through myDouglas Employee Self-Service. Log in to myDouglas and click on Online Self-Services, then select Personal Information to update your address, e-mail, emergency contact or change your PIN. (You do not need to notify Human Resources if you update your information on-line).

Change of Address forms are also available on our Forms page , at Human Resources Reception and from your Departmental Assistant. You may complete a change of address form or e-mail your updated information to the Human Resources Department . Please include your postal code, new phone number and the effective date of the change.

Faculty members should inform the DCFA office of address changes and Staff should inform the BCGEU office.

If you are enrolled in pension please advise either the College Pension Plan or the Municipal Pension Plan of your new address.

For added convenience you may wish to notify various Provincial Government programs and/or offices (such as MSP) of your change of address by using the Multiple Address Change Service.

What is my Manulife policy number? What is my certificate number? 

For extended health and dental claims, the policy number for all employee groups at Douglas College is 83239. Your certificate number is your employee ID number. You must record your certificate number on all benefit claim forms.

How do I make an Extended Health or Dental benefits claim?

Extended Health and Dental claim forms are available on our Forms page as well as at Human Resources Reception at the Royal Avenue Campus and the Administration office of the David Lam Campus. The completed form can either be returned to the Human Resources Department to be sent to Manulife Financial for you (claim forms are mailed to Manulife weekly on Fridays), or you can mail the form directly yourself.

Why does the Prescription Drug Card only show my name and not my spouse's as well?

If your spouse's or dependant children's last name is the same as yours, the card will only display one name. Should the surname be different, then a second card is generated reflecting the spouse's name.

How many vacation days do I have left?

Note: Your current vacation balance is only accurate if you have been turning in your time sheets on a regular basis to Payroll. The information is current up to your last time sheet submitted for the last pay period.

For BCGEU staff, your current available vacation balance (in hours) is available through myDouglas Employee Self-Service.

Your vacation balance represents the following:
Current vacation balance = 2011 Vacation entitlement + 2010/09 Carryover - 2011 Hours used.

Should there be any discrepancies between your records and Payroll records, please contact Payroll .

What is the Translink Employer Pass Program?

Both campuses are easily accessible by public transit. Please visit the Translink website for more information.

The Translink Employer Pass Program allows companies to offer cost-reduced annual transit passes to their staff when 25 or more employees are enrolled into the program and committed to it for 12 consecutive months. Douglas College has now signed up and new participants at Douglas College may enroll during any calendar month.
